Creating a form

File-upload fields accept PDF, PNG, JPG and ZIP files, and a form can have up to 300 fields. Save as template lets you reuse the fields later.

  1. Click New form and pick a template — Client intake, Project brief, Feedback & approval or Brand assets — one of your own templates, or a blank form.
  2. Give it a name (required) and a short description.
  3. Add fields: short text, long text, dropdown, file upload, checkbox and URL, plus radio group, checkbox group, number, date and section heading under Custom field.
  4. Click a field to set its label, help text, placeholder, options and whether it is required. Drag fields to reorder them.
  5. Choose the assigned client — only that client can open the form — then set the status and click Save form.

Getting a form to your client

Forms have three statuses: Draft (the client sees nothing), Live (ready to fill in) and Closed (their answers read-only, if they already submitted).

  • Assign it and set it Live — it appears in that client’s portal under Forms.
  • Attach it to a message in the Inbox. Only Live forms assigned to that client can be attached, up to 5 per message.
  • Attach it to a proposal as an intake form, so the client fills it in right after signing.

Reading responses

Open the form and switch to the Responses tab to see who answered, when, and every answer. You are also emailed when a client completes a form.

Each client can submit a form once. Files they upload are saved to their project’s Files; if they have more than one project, they choose which. Deleting a form is permanent, and a form attached to a proposal cannot be deleted.

Frequently asked questions

Does Kwill have client intake forms?
Yes, on Independent and above. Build a form from the Client intake, Project brief, Feedback & approval or Brand assets template, or from scratch, and assign it to a client so it appears in their portal.
Can I share a Kwill form with a public link?
No. There is no public or shareable form link. A form is assigned to one client, and only that client can open it — through their portal, attached to a message, or attached to a proposal as an intake form.
What field types can a Kwill form have?
Short text, long text, dropdown, file upload, checkbox and URL, plus radio group, checkbox group, number, date and section heading under Custom field. A form can have up to 300 fields.
Can a client fill in the same form twice?
No. Each client can submit a given form once. Set the form to Closed afterwards if you want them to keep read-only access to their answers.
Where do files that clients upload through a form go?
They are saved to that client’s project Files. If the client has more than one project, they choose which one when submitting.
