Share files and deliverables

Upload project files in Kwill, lock a deliverable behind an unpaid invoice, collect pinned comments on images, and sync a Google Drive or Dropbox folder.

What it is
A shared file area for each project. Both you and the client can upload.
Why use it
Deliver work and collect materials in one place, with optional pay-to-unlock and image feedback.
When
Whenever you hand over work or need files from the client.

Uploading files

  • Click Upload on a project’s Files. Files can be up to 500 MB each, within your plan’s total storage.
  • Every project file is visible to the client in their portal. There is no private-file option.
  • Each file shows who uploaded it — You, Client or Synced. Deleting happens straight away, with no confirmation.
  • Client uploads count towards your storage. If you hit "Storage limit reached", delete files or upgrade.

Gated delivery: pay to unlock

On Studio and above, choose "Gate to an invoice" on a file and pick the invoice. The client sees the file as "Locked until payment" with a Pay now button, and is emailed that their deliverables are ready.

When the invoice is paid the file unlocks automatically and you are both emailed. To release it early, use "Ungate — release immediately".

Proofing and cloud sync

On Studio and above, clients can click View & comment on an image and pin comments directly onto it. You are emailed when they leave feedback, and can read it with "View client feedback" on the file.

To sync a cloud folder, connect Google Drive or Dropbox under Account › Integrations, then click "Link a Google Drive / Dropbox folder" on a project’s Files. Synced files appear in the project marked "Synced"; tick "Also push Kwill uploads to cloud" to copy uploads the other way. Disconnecting does not remove files that were already synced.

Frequently asked questions

Can I stop a client downloading files until they have paid?
Yes, on Studio and above. Choose "Gate to an invoice" on a file and pick the invoice. The client sees it as "Locked until payment" with a Pay now button, and the file unlocks automatically once the invoice is paid. You can also release it early with "Ungate — release immediately".
How large a file can I upload to Kwill?
Up to 500 MB per file, within your plan’s total storage: 500 MB on Free, 10 GB on Independent, 50 GB on Studio and 200 GB on Collective. Files your clients upload count towards your storage too.
Can I keep a project file private from the client?
No. Every file in a project is visible to that client in their portal — there is no private-file option. Use an internal note in the Inbox for anything the client should not see.
Does Kwill connect to Google Drive or Dropbox?
Yes. Connect either under Account › Integrations, then link a folder from a project’s Files. Files in that folder appear in the project marked "Synced", and you can optionally push Kwill uploads back to the cloud folder.
Can clients leave feedback on images?
Yes, on Studio and above. Clients click View & comment on an image and pin comments directly onto it. You are emailed when they leave feedback.
