What your clients see in the portal

How clients sign into your branded Kwill portal without a password, which sections they see on each plan, and what you get when they sign, pay or upload.

What it is
Your branded portal — the only part of Kwill your clients ever use.
Why use it
Knowing what clients see helps you guide them through signing, paying and sending you what you need.
When
Before you invite your first client, and whenever one gets stuck.

How clients get in

Clients with more than one project pick one when they arrive, and switch using the project switcher in the portal sidebar. Timeline, Files, Messages and Requests follow the selected project.

  • No passwords. Clients sign in with a magic link — a one-time link emailed to them.
  • They get a link in the invite email, and in every proposal, contract, invoice and message email. Those links go straight to the right page.
  • Any time, they can visit your portal address, enter their email and click "Email me a sign-in link".
  • Sign-in links work once and expire after 24 hours. A client stays signed in for 24 hours, then needs a new link.

Portal sections

Clients only ever see documents you have sent, never drafts. Sections your plan does not include are hidden.

  • Overview, Proposals, Contracts, Invoices and Files — on every plan.
  • Timeline, Messages and Bookings — Independent and above. Forms too, once at least one Live form is assigned.
  • Requests — Studio and above, where clients raise change orders, tasks, bugs and questions.

What clients can do themselves

  • Read proposals, choose optional add-ons, sign or decline, and download the PDF.
  • Read and sign contracts, or decline with a reason.
  • Pay invoices online or see your bank details, download the PDF, dispute an invoice, and see past receipts.
  • Download and upload files, comment on images (Studio and above), and pay to unlock gated files.
  • Book, move or cancel calls, message you about the selected project, and request deletion of their data.

Frequently asked questions

Do clients need an account or password for the Kwill portal?
No. Clients sign in with a magic link emailed to them — there is no password to create. Links work once and expire after 24 hours, and a signed-in session also lasts 24 hours.
Is the Kwill client portal white-labelled?
The portal carries your logo, brand colour and font on every plan. On Studio and above the small "by Kwill" mark inside the portal is removed, and you can serve the portal from your own custom domain. The portal sign-in page still shows "Powered by Kwill".
Can clients see my drafts?
No. Clients only ever see documents you have sent. Drafts of proposals, contracts and invoices are visible to you and your team only.
Can I see the portal the way my client sees it?
Yes. Use "View client portal" in your sidebar. You can preview proposals as the client sees them; the signature pad is hidden so nothing can be signed on their behalf.
What happens when a client signs or pays?
Signing a proposal sets it to Signed and emails you the PDF, and can draft an invoice if that automation is on. Paying an invoice sets it to Paid, emails you "Payment received", sends the client a receipt and unlocks any files gated behind it.
My client says they never got their invite. What do I do?
Send them your portal address. On the sign-in screen they enter their email and click "Email me a sign-in link". Ask them to check spam and to use the same email address you saved for them.
