Who can invite teammates

Free, Independent and Studio each have one user. Inviting teammates needs the Collective plan, which includes up to 5 team seats with owner, admin and member roles and email invites. On lower plans the invite form is disabled.

Invites expire after 7 days and count as a used seat while pending. Removing someone cuts off their access immediately.

What each role can do

Assign clients to team members from the client page, where owners and admins also control whether that member can see the client’s email and phone.

  • Owner — everything, including billing and upgrades, connecting Stripe, promoting someone to admin, exporting data and deleting the account. The owner cannot be removed or leave the workspace.
  • Admin — create and send documents, manage clients and settings, invite members and view the audit log. Cannot manage billing, connect Stripe, promote to admin, remove other admins, delete the account or customise the dashboard.
  • Member — see clients assigned to them and their documents, create clients, and see Profile and Team settings. Cannot create or edit proposals, contracts, invoices or calendar events, see other clients, or open business settings.

Frequently asked questions

How many team members can I have in Kwill?
Up to 5 seats, on the Collective plan. Free, Independent and Studio are single-user plans, and on those the invite form is disabled.
What is the difference between an admin and a member in Kwill?
Admins can create and send documents, manage clients and settings, invite members and view the audit log, but cannot touch billing or Stripe. Members are much more limited: they see only the clients assigned to them, can create clients, and have view-only access to proposals, contracts, invoices and calendar events.
Can I limit which clients a teammate sees?
Yes. Members only see clients assigned to them. Owners and admins set that assignment on the client page, and can also choose whether the member can see that client’s email and phone.
How long do team invites last?
Invites expire after 7 days, and count as a used seat while they are pending. Removing someone cuts off their access immediately.
