The automations Kwill runs out of the box and their defaults, plus how to build your own rules that send an email or post to Slack when something happens.

Built-in automations

These run with their defaults on every plan — Free and Independent clients still get overdue reminders. Only Studio and above can open the Automations page to change them. Changes save immediately and apply from the next event.

  • Draft an invoice when a proposal is signed — off by default.
  • Send welcome email when proposal is signed — on.
  • Email me when a client signs a contract — on.
  • Send a reminder when an invoice is 3 days overdue — on.
  • Send firm reminder at 7 days overdue — on.
  • Notify me when a client uploads a file — on.
  • Notify me when a service request is submitted — on.
  • Notify client when project stage changes — on.

Your own rules

New rules start switched on. Emails go to the client, or to you if no client is involved. Rules have no extra conditions — every switched-on rule for that event runs. Use the switch to pause a rule, or delete it, which cannot be undone. Each time a rule runs it is recorded in the audit log.

  1. Click New rule and give it a name, such as "Thank client when they pay".
  2. Choose when it runs: proposal signed, invoice paid, project stage changed, new message from client, service request submitted, or client uploaded a file.
  3. Choose what it does: send an email with your subject and body, or post to Slack using an incoming-webhook URL.
  4. Click the variable chips to insert details such as {{client_name}}, {{invoice_number}} or {{amount}}, then save.

Frequently asked questions

Which plan do I need for automations in Kwill?
Studio or above to open the Automations page and change anything. The built-in automations themselves run with their default settings on every plan, so Free and Independent clients still receive overdue invoice reminders.
Does Kwill post to Slack?
Yes, through automation rules on Studio and above. Create a rule, choose "Post to Slack" as the action and paste a Slack incoming-webhook URL along with your message. Slack is not configured as a separate integration.
Can I turn off automatic overdue invoice reminders?
Only on Studio and above, under Automations. The 3-day and 7-day reminders are on by default on every plan, and each goes out once per invoice. Reminders stop automatically for archived clients.
What can trigger an automation rule?
Proposal signed, invoice paid, project stage changed, new message from client, service request submitted, or client uploaded a file. Rules have no additional conditions — every switched-on rule for that event runs.
Does Kwill integrate with Zapier or have a public API?
Not today — Zapier, Make, and a public API are coming soon. Automation rules can send email or post to Slack, and Google Drive and Dropbox can be connected for file sync.
