Workspace settings and payouts

Set your invoice currency, timezone and tax details in Kwill, connect Stripe or add bank transfer details, handle client data deletion requests, and read the audit log.

What it is
The workspace-wide settings behind your invoices, payments, integrations and privacy obligations.
Why use it
Currency, tax and payout details have to be right before you send your first invoice.
When
Once during setup, and whenever your business details change.

Business settings

  • Invoice currency — USD, EUR, GBP, CAD, AUD, INR, NGN, KES, BRL, MXN, AED, ZAR or PKR. Applies to new invoices and proposals only.
  • Timezone — used to show due dates and expiry dates.
  • Date & number format — English (UK) shows DD/MM/YYYY and 1,000.00, for example.
  • Country — decides which payment options you can use, and is the fallback for late-payment interest rules.

Getting paid online

The separate Payout Methods page lets you list methods and pick a default, but that list is only kept in your current browser tab and does not change how invoices are paid. Set payments up with Stripe and bank details in Business Settings.

  • Connect your own Stripe account (owner only). Invoice payments then go straight to you, and you stay responsible for refunds and disputes. Save your country first.
  • Kwill-hosted Stripe (owner only), where your country qualifies: Kwill holds the Stripe account and handles disputes and chargebacks. Stripe may charge a 0.25% cross-border fee on each payout; the page tells you whether this applies.
  • Bank transfer details — choose where the account is (International, United States, United Kingdom, European Union or India) and the right fields appear. Clients see these when an invoice has no online payment option.

Tax, integrations and privacy

  • Business › Tax — set a tax label such as VAT or GST, a default tax rate filled in on new invoices, and a tax ID or VAT number printed on them.
  • Account › Integrations — connect Google Drive or Dropbox for project file sync. Stripe is connected in Business Settings and Slack is used through automation rules.
  • Account › Privacy — client data deletion requests land here and you are emailed. Reject with an optional reason, or Process Deletion, which permanently deletes that client and their portal access, projects, documents, payments, messages and files. You are expected to respond within 30 days.
  • Account › Your data — export your data, or (owner only) delete the account. Deleting the account does not cancel a paid subscription; cancel that first under Account › Billing.

Audit log

On Studio and above, More › Audit Log records every create, update and send in your workspace, such as "Invoice marked paid manually" or "Automation rule fired". Actions taken by clients are tagged "Client action". Search, filter by type and date range, and export to CSV. Only the 500 most recent events are shown.

Frequently asked questions

How do I connect Stripe to Kwill?
Go to Business › Business Settings and, as the workspace owner, connect your own Stripe account — payments then go straight to you and you handle refunds and disputes. Where your country qualifies you can instead click "Let Kwill set this up for you", and Kwill holds the Stripe account and handles disputes. Save your country first.
Does Kwill take a cut of my payments?
When you connect your own Stripe account, invoice payments go directly to you. On Kwill-hosted Stripe, Stripe may charge a 0.25% cross-border fee on each payout to your country, and the page tells you whether that applies or is waived.
Can I invoice in more than one currency?
Not per invoice. The invoice currency is a workspace setting and applies to new invoices and proposals; existing documents keep the currency they were created with. If you use more than one currency, the Invoices page totals add the amounts together without converting them.
Does Kwill have an audit log?
Yes, on Studio and above, under More › Audit Log. It records every create, update and send, tags client actions, and can be filtered by type and date range and exported to CSV. Only the 500 most recent events are shown.
A client asked me to delete their data. What do I do?
The request appears under Account › Privacy and you are emailed. You are expected to respond within 30 days. Reject it with an optional reason, or choose Process Deletion, which permanently removes that client and their portal access, projects, proposals, contracts, invoices, payments, messages and files. Pipeline deals are kept, and the deletion cannot be undone.
