Track deals in the pipeline

How the Kwill pipeline board works: the five fixed stages, adding and moving deals, what the win-rate figures mean, and what happens when a deal is won.

What it is
A board of the work you are trying to win. Each piece of work is a deal, sitting in a column for its sales stage.
Why use it
So leads do not slip through the cracks, and you can see how much work is in the pipe and your win rate.
When
When someone enquires or you pitch for work, before there is anything to invoice.

The five stages

These five stages are fixed: they cannot be renamed or added to. Above the board, Kwill shows total pipeline (everything except Lost), won revenue, active deals and win rate (Won ÷ Won + Lost).

  • Prospect — a new lead or enquiry.
  • Proposal Sent — you have quoted and are waiting.
  • Negotiating — discussing scope or price.
  • Won — the client said yes.
  • Lost — it did not happen.

Adding and moving deals

Deals can only be linked to clients that already exist — you cannot create a client from the deal form. Deleting a deal happens immediately, with no confirmation.

  1. Click New deal, or the + at the top of a column to start in that stage.
  2. Enter a deal title (required), choose a stage, and optionally add a value, a client and notes.
  3. Click Add deal, then drag the card between columns as the work progresses.

Frequently asked questions

Can I rename or add pipeline stages in Kwill?
No. The five stages — Prospect, Proposal Sent, Negotiating, Won and Lost — are fixed and cannot be renamed, reordered or added to.
Does moving a deal to Won create a project or proposal?
No. Marking a deal Won does not create a client, project, proposal or invoice. Create those yourself when you are ready.
Which plans include the Kwill pipeline?
The pipeline is available on every plan, including Free. Deals do not count towards your plan’s client limit, and a deal only consumes a client slot if you link it to a client you have added.
Can I import past deals into the pipeline?
Yes. Use Pipeline › Import CSV. Title is the only required column; stage, value, client email, date and notes can also be matched. Import your clients first, because a deal’s client email has to match a client that already exists.
How is win rate calculated in Kwill?
Win rate is won deals divided by won plus lost deals. Deals still in Prospect, Proposal Sent or Negotiating are counted as active and are not included.
