Build a proposal in Kwill from one of 48 templates, add optional extras clients can pick, send it for online signature, and see what happens when they sign.

Building a proposal

Pricing has two kinds of line: included items, which are always charged, and optional add-ons the client can tick. The total shows as a range when add-ons exist. Proposals have no discount or tax fields — add tax on the invoice instead.

  1. Go to Proposals › New proposal. On Independent and above, start from one of 48 ready-made templates, one of your saved templates, or a blank proposal. The Free plan opens the editor blank.
  2. Enter a title and pick the client — both required — and optionally a project for that client.
  3. Set a start date (needed before sending) and optionally a "valid until" date. The client can sign up to and including that day, but not after.
  4. Fill in the four sections: scope of work, deliverables, pricing and terms. Drag them by their handles to reorder.
  5. Click Save draft, Preview to see it as the client will, or Send to client.

Drafting with AI

Owners and admins can click Draft with AI, describe the project in up to 1,500 characters and click Generate Proposal. Each section also has its own AI bar.

Generate Proposal replaces your scope, deliverables and all price lines straight away, without asking; your own custom terms are kept. AI-written sections carry an "AI-generated" label until you edit them, and AI is limited to 10 drafts per hour across the workspace.

What happens when the client signs

  • They tick any optional add-ons; the final total is the included items plus what they chose.
  • The proposal becomes Signed and the PDF is updated with their signature.
  • You get an email, and the client gets their own copy plus a welcome email unless you switched that automation off.
  • If you attached an intake form, the client goes straight to it.
  • If you switched on "Draft an invoice when a proposal is signed" (Studio and above), a draft invoice is created for you to check and send.

Frequently asked questions

Can I edit a proposal after sending it in Kwill?
No. Once sent, a proposal cannot be edited, withdrawn or deleted. Preview it before sending, and create a new proposal if you need to change the offer. Drafts can be edited freely and deleted.
Does Kwill support electronic signatures on proposals?
Yes. Clients review the proposal in your branded portal and accept it by signing online — no printing or scanning. The PDF is updated with their signature and both of you are emailed a copy.
Can clients choose optional extras on a Kwill proposal?
Yes. Pricing lines can be marked as optional add-ons, which the client ticks when accepting. The proposal total shows as a range until they choose, and the final amount is the included items plus the add-ons they selected.
Does signing a proposal automatically create an invoice?
Only if you switch on the "Draft an invoice when a proposal is signed" automation, which needs Studio or above and is off by default. Even then it creates a draft for you to review — nothing is sent to the client until you send it. Signing never creates a project.
How many proposal templates does Kwill include?
There are 48 ready-made templates on Independent and above, searchable and filterable by category such as Design, Development, Marketing and Writing. You can also save any proposal as your own reusable template.
Can I go back to an earlier version of a proposal draft?
Yes. Kwill snapshots a draft every time you save or send. Click the versions link while editing, then Restore on an older version — that only loads it into the editor, so nothing is saved until you save again. Restoring clears the project link, so re-pick it if needed.
